Information Privacy Policy

These regulations come into force in May 2018 and mean we must all modify the way we collect and handle personal data. Personal data is defined as any data (paper or digital) which can identify an individual and can be as little as a name or an email address.


The regulations place high importance on those handling data to be able to justify what information they collect and to ensure they do not store more personal data than is required or for longer than is required.


Membership Information
Because of this the membership form has been edited to request only personal data which the Club would rely on to be able to carry out its lawful activities.


We have identified the following reasons to request the data on the form:
● To efficiently and safely run a youth/junior/senior section it is necessary to collect personal data which can be used to contact the swimmer, or parents/guardians of junior swimmer/s with club and team information, and for team selection purposes.
● It is also necessary to collect personal data which can be used to contact nominated contacts in emergency situations.
● Personal data relating to the junior swimmer includes their date of birth, for age group verification.
● Medical conditions which could affect the ability of the coaches or managers to safeguard the wellbeing of the swimmer must be recorded.


Personal Information we may collect from you:
Depending on the type of membership you register for with us, you may initially provide us with, or we may obtain personal information about you, such as information regarding your:
• personal contact details that allows us to contact you directly such as: name, title, email addresses and telephone numbers, date of birth, gender.
• Membership start and end date.
• Records of your interactions with us such as telephone conversations, emails and other correspondence and your instructions to us.
• Any payment details you provide so that we can receive payments from you and details of the financial transactions with you.
• Records of your attendance at any events hosted by us, such as training courses.
• Images in video and/or photographic form and voice recordings.
• Details of next of kin, family members, coaches and emergency contacts.
• Records and assessment of any swimmer rankings, gradings, competition results, details regarding competitions, assessments, training courses attended and performance.
• Any disciplinary and grievance information


The data collected will be used for the reasons specified above and not for any other reason. The data will be held by the Membership Secretary and shared only with those who rely on having this information to carry out the activities of the club, for example the coaches and team managers.


Disclosure of your Personal Information


We share personal information with the following parties:
• Any party approved by you.
• To any governing bodies or regional bodies for the sports covered by our club: to allow them to properly administer the sports on a local, regional, and national level.
• The Government or our regulators: where we are required to do so by law or to assist with their investigations or initiatives.
• Police, law enforcement and security services: to assist with the investigation and prevention of crime and the protection of national security.
• In the event of a medical issue or child protection issue arising, the Club may disclose certain information to doctors or other medical specialists and/or to police, the Regional Welfare Officer, Children’s Social Care, the Courts and/or probation officers and, potentially to legal and other advisers involved in an investigation
Your rights under the Regulations
● You have the right to request to see what personal data the club holds about you. Please contact the Membership Secretary for this information and to make any resultant requests regarding any of the following:
● You can request that any personal data the Club holds be updated or amended.
● You can request that any of the data the club holds be deleted at any time (although continued membership will depend on the Club having sufficient information to carry out its activities and obligations)
● You can request that the personal data the Club holds about you is not actively used, without it being erased. The Club has produced a data retention policy which ensures that once a membership ceases, any data relating to that person will be appropriately deleted within a reasonable time period.


Security


We are committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information DASC collect online. This website is built using WIX. WIX's signup and login services are completed through a secure server. The information provided to WIX in the signup process is secured via HTTPS/ SSL communication. WIX uses cryptography hash functions to protect your information. Your password is stored as a hash digest and, in the event of a security breach, your original password cannot be recovered from their servers.


Cookies
● When you visit our Website a small amount of data known as a “cookie” may be stored on your computer’s hard drive. Cookies include information concerning, for example, the type of web browser you are using. We use cookies to help us monitor the way in which the Website is used, which in turn helps us to ensure that the Website is relevant to its users. However, we will endeavour to protect all Personal Information collected through our Website in accordance with strict data protection standards.

DASC reserves the right, at its discretion, to make changes to any part of the Website, the Information, or these Terms. DASC may change this policy from time to time by updating this page. You should check this page regularly to ensure that you are happy with any changes.


This policy is effective from 1st September 2020. By continuing to use the Website you agree to be bound by these Terms as amended.
